Position Overview:

The Front Desk - Administrative & Accounting Assistant supports daily office operations by performing a combination of front desk, accounting, and administrative duties. This role ensures efficient office workflow, accurate financial recordkeeping, and a professional first point of contact for visitors and employees. This position works closely with all locations of SVD, Inc., vendors, and external shipping vendors to ensure smooth operations and uninterrupted workflow.

Administrative Support

· Provide general administrative support to accounting, management and staff

· Maintain organized filing systems (physical and electronic)

· Prepare reports, spreadsheets, and correspondence

· Manage office supplies inventory and place orders as needed

· Assist with scheduling meetings, appointments, and conference room coordination

Accounting Support

· Assist with accounts payable and accounts receivable processes

· Enter and maintain accurate financial data in accounting systems

· Prepare invoices, process payments, and reconcile discrepancies

· Maintain financial records in compliance with company policies

Reception / Front Desk

· Greet and assist visitors, clients, and vendors in a professional manner

· Answer and transfer incoming phone calls and emails

· Manage incoming and outgoing mail and deliveries

· Maintain a clean, organized, and welcoming front office area

Qualifications

· High school diploma or equivalent required; associate degree preferred

· 2+ years of administrative and/or accounting support experience

· Basic knowledge of accounting principles (AP/AR preferred)

· Proficiency in QuickBooks, Microsoft Office (Excel, Word, Outlook)

· Experience with accounting software is a plus

· Strong organizational and multitasking skills

· Excellent communication and customer service abilities

· High attention to detail and accuracy

Work Environment & Physical Requirements

· Primarily office-based environment with frequent use of a computer and phone

· Ability to sit for extended periods, with occasional standing and walking

· Ability to lift and carry items up to 20 pounds (e.g., office supplies, packages)

· Manual dexterity to operate standard office equipment (keyboard, copier, phone)

· Visual ability to read and interpret screens, documents, and financial data

· Ability to communicate clearly in person, by phone, and via email

Additional Requirements

· Ability to manage multiple priorities in a fast-paced environment

· Maintain confidentiality of sensitive employee and financial information

· Regular, reliable attendance and punctuality required
