About the Role

We're a women's fitness and transformation brand running a multi-funnel, multi-brand operation across paid acquisition, low-ticket offers, high-ticket VIP coaching, and an ambassador program. Our CRM and marketing ops stack is the engine behind it all — and it's growing faster than one person can manage.

We're hiring a HubSpot & Marketing Operations Specialist to own the day-to-day of our HubSpot environment, support our sales and marketing teams with workflows and reporting, and partner closely with our Acquisitions Operations lead on the integrations, automations, and data pipelines that keep everything connected.

This role is hands-on, technical, and high-leverage. You'll touch the systems that drive revenue every single day.

What You'll Own

HubSpot Administration

  • Day-to-day admin of our HubSpot portal: properties, pipelines, lifecycle stages, lists, users, and permissions
  • Build and maintain workflows that move contacts and deals through our funnels (lead MQL SQL closed)
  • Manage our multi-stage setter-to-closer sales pipeline, including stage-gating logic and deal routing
  • Maintain custom objects (e.g., our Low Ticket object, Ambassador object) and the associations between them
  • Keep data clean: deduplication, normalization, property hygiene, and audit cadences
  • Field and resolve team-reported HubSpot and workflow issues

Reporting & Analytics

  • Build dashboards and reports in HubSpot for marketing, sales, and leadership
  • Partner with our data team on reporting that lives outside HubSpot (Supabase, Sigma) when needed
  • Troubleshoot reporting discrepancies between HubSpot and downstream systems

Integrations & Automation

  • Manage our Zapier environment: build, debug, and maintain Zaps between HubSpot and other platforms
  • Work with HubSpot APIs and webhooks for custom integrations that Zapier can't handle natively

Campaign & Funnel Support

  • Support marketing on email campaigns, list segmentation, and lead scoring
  • Support sales on workflow logic, sequence builds, and CRM hygiene
  • Set up tracking and attribution for new funnels, landing pages, and offers

What You Bring

Required

  • 3+ years of hands-on HubSpot experience (Marketing Hub + Sales Hub, ideally Enterprise tier)
  • Demonstrated experience building complex workflows, custom properties, and custom objects
  • Strong Zapier (or equivalent) experience, including multi-step Zaps with filters, formatters, and Code steps
  • Working understanding of REST APIs — comfortable reading API docs and debugging webhook payloads
  • Solid grasp of marketing fundamentals: funnels, lifecycle marketing, attribution, lead scoring, segmentation
  • Excellent written communication — you can document what you build and explain it to non-technical teammates

Nice to Have

  • HubSpot certifications (Marketing Hub, Sales Hub, Data Integrations)
  • SQL experience (we use Supabase / Postgres)
  • Experience with SamCart, Kajabi, Webflow, or similar marketing tools
  • Background in DTC, info products, coaching, or fitness/wellness
  • Familiarity with paid media platforms (Meta, Google) and conversion tracking (pixels, CAPI, server-side events)

  • Builder mindset. You don't just maintain — you spot inefficiencies and propose better systems.
  • Comfortable in the gray. Our stack is real-world messy. You're okay debugging across three platforms to find the one missing field causing the issue.
  • Communicative. You ask clarifying questions, document your work, and don't disappear into a black box.

What This Role Is Not

This isn't a content marketer, brand strategist, or social media manager role. You'll work closely with those teams, but your domain is the systems and data that power the marketing — not the creative.
